Once configured, the workflow engine automatically moves the document from station to station as it is processed. This ensures that your business processes are streamlined and that documents are always properly routed for approvals, without additional intervention and delays.

How the HRPlus Anywhere Work Flow Engine Works

The HRplus Anywhere workflow engine is fully integrated with both the organisation (it already knows the reporting relationships in the organisation chart) and its business processes, and provides the foundation for process automation. Employees are automatically supplied with the information, data and documents that they require to support effective business decisions on a timely basis. The workflow automatically identifies and monitors processing exceptions, (e.g. Jane Doe, who has to approve leave for others, may herself be on vacation) and addresses these automatically based on rules defined by the organisation. This improves processing throughput while decreasing processing costs. Processing deadlines are imposed and tracked to avoid lengthy delays and user-defined escalation procedures can be implemented. Everyone involved in a process has a detailed overview of ongoing and completed processes.

Inbox

The workflow system provides a user-friendly in-box for the knowledge worker (it is similar to your e-mail in-box.) The in-box receives and groups all work-items, messages, and documents addressed to you by type. Folder systems can be set up within the in-box to manage documents, reschedule work items, and schedule mail transmissions.

Self Service

The basic concept behind this application is that of self service. It enables employees throughout the organisation to manage and maintain their own data without compromising security or data integrity of the system. Supervisors and Managers are able to perform administrative tasks in a decentralised environment. As such much of the routine data entry and related customer service activities that may be performed in a company's Human Resources, Payroll, Benefits, and Stores departments is performed at source and approved by the relevant department before it is actually updated. Many resources are therefore freer to be assigned to more mission critical activities. This also reduces bottlenecks and ensures that updating of employees' personal information is done in a timely fashion.

Core features of this application are:

An Employee Self Serve (ESS)

- empowers employees to maintain their own information and to view their information any time, from any desktop A Manager/Supervisor Self Serve (MSS)

- Streamlines many routine human resource-related functions Employees can access the application twenty-four hours a day, seven days a week (24/7), from the office, home, or on the road, in other words from anywhere.

INTEGRATED INTRANET Work Manager

The Work Manager is used to facilitate a comprehensive organisation-wide Performance Management System that is based on the concept of Management by Objectives. In such and organisation, managers are able to use the Work Manager to set goals and tasks for themselves and their subordinates. Other employees are able to add their personal goals and individual tasks.

Knowledge Base

The system provides for End-User development of a database that could be used to store and query information on the organisation's best practices, its archive of manuals and handbooks. Searches of the knowledge base can be initiated from within the In Box.

Bulletin Board

The built in Bulletin Board allows authorised users to publish information pertinent to the entire organisation or for specific interest groups from within the environment of the Universal Desktop. Discussion Forum Employees within the organisation may log on to participate in ongoing discussions or initiate discussion topics of their own. This forum is useful for gathering feedback and comments on situations within an organisation. Scheduler Employees can enter dates for meetings "on the fly" and receive reminders of previously scheduled meetings. The users who may share views of the built in calendar are defined by an organisation's business rule. For example, both a manager and secretary may update and view the manager's schedule. The Scheduler automatically enters deadlines and dates for tasks entered into the Work Manager. The Scheduler can also be used for scheduling use of meeting rooms and equipment. Other information about upcoming events and commitments may be entered directly into the calendar.

In/Out Board

This feature is a convenient way of knowing when employees are in and out of the office, or who is online and working from home. An employee answering the telephone can determine the availability of the individual requested by logging onto the In/Out Board from the PC on his/her desk. The In/Out Board replaces the chalk board currently used by many organisations for this purpose and supports the Internet era mobile workforce.

Messages

The Universal Desktop becomes the most convenient medium by which others can be notified of messages received while they were out. In keeping with the more paperless environment, the Messages feature replaces traditional "while you were out" notes and increases the probability of the addressee actually receiving an important message.

Hyperlinking HTML

Hyperlinking is used in all modules to refer users to other areas of information and resources (access to online training programs as well as data from service providers web sites.)
